Using the Planning (TimeMoto Cloud Plus)

When using the TimeMoto Cloud Plus, the Planning option under [Planner] > [Planning] allows you to flexibly plan work schedules and absences. This article explains how to use it both for planning your employee’s work schedules, and their planned absences.

Before starting to use the Planning, we advise you to review your absence management settings and work schedules. You can find more information about these topics in the following articles:

Planning work schedules

You can plan any work schedule you have created under [Planner] > [Schedule] also into the Planning. If you want to learn more about creating work schedules in the TimeMoto Cloud, please see the following article:

Under [Planner] > [Planning], set the filters on the left to show you the user, department, or location you want to plan a work schedule for. Then, double-click the day in the calendar view you want the schedule to start on. In the window that appears, select the button “Schedule” on the top.

Select the work schedule you want to plan from the drop-down menu. To set a recurring schedule, select the option “Weekly” under “Recurrence”. 

Using the recurrence rules

You can use the recurrence rules to have a work schedule scheduled with recurrence. This function is useful if you want to have a work schedule repeat every other week, or only on specific days of the week. 

Under “Repeat every”, you can indicate the weekly intervals at which the work schedule will repeat.

In the screenshot above, the work schedule would be repeated every other week. 

With “Repeat on”, you can select on which days of the week the work schedule will repeat.

In the screenshot above, the work schedule would repeat on every Monday, Tuesday, Wednesday, Thursday, and Friday.

“End” allows you to define how often or until when the recurrence will repeat itself. If you select “Never”, the work schedule will only be scheduled on the selected day. 

“After X occurrence(s)” will repeat the work schedule a certain number of times. Each day the work schedule is scheduled counts as one occurrence.

In the screenshot above, you see a work schedule that will repeat itself on Monday, Tuesday, Wednesday, Thursday, and Friday. Under “End”, we have set that it should end after 10 occurrences. This means that after two work weeks, the work schedule will end.

You can also select that the recurrence should end on a specific date. You select “On” for that, and then select the date the recurrence should end on.  

Once you have set up the recurrences (if necessary), you can enter a description (optional). Then, click on “Save” to save your work schedule in the Planning.

Green boxes with the name of the work schedule will now indicate on which days the work schedule is scheduled.

Editing a planned work schedule

If you want to edit a planned work schedule, double-clicking it will open the editing window. Here you can adjust any settings, like the recurrence or selected work schedule.

Deleting a planned work schedule

If you want to delete a planned work schedule, click on the “X” in the green box of the work schedule. 

If the planned work schedule is part of a recurring work schedule, you can decide if you want to delete the entire series, or just this single occurrence. 

Planning absences

If you want to schedule absence for your users, you can also do so under [Planner] > [Planning]. Before you start scheduling absence, we advise you to review your absence management settings under [Planner] > [Absence Management]. For more information, please see the following Support Center article:

Under [Planner] > [Planning], set the filters on the left to show you the user, department, or location you want to plan a work schedule for. Then, double-click the day in the calendar view you want the schedule to start on. In the window that appears, select the button “Absence” on the top. Here, you can define the parameters of your Absence.

  • Type: select the kind of absence you want to schedule. If you need to add additional kinds of absences, you can do so under [Planner] > [Absence Management] under “Absence Types”. 
  • Full day(s): if you want to have this absence last for a full day, you can check this box. If you chose to measure your absences in hours, you can then indicate how many hours of absence should be calculated for this absence.
  • Start / End: here you can define the duration of your absence. If you have an absence that lasts for more than one day, we advise you to use the “Recurrence” option. 
  • Recurrence: this option allows you to enable recurrence rules for the absence. Selecting “Weekly” will show the available recurrence rules.

Using the recurrence rules for absences works the same way for absences. See “Using the recurrence rules” above for more information.

Once you have set up the recurrences (if necessary), you can enter a description (optional). Then, click on “Save” to save your absence in the Planning.

Editing a planned absence

If you want to edit a planned absence, double-clicking it will open the editing window. Here you can adjust any settings, like the recurrence or type of absence.
